Terms of Service
These terms explain the responsibilities and limits that apply when you use MailWeave.
Last updated: November 6, 2026
Agreement and service
These Terms of Service apply when you access or use MailWeave. By creating an account or using the service, you agree to these terms. If you use MailWeave for an organization, you confirm that you have authority to accept these terms for it.
MailWeave connects IMAP mailboxes, extracts message information into structured events, routes events to configured webhook endpoints, and provides event and delivery history. Features and limits depend on the selected plan.
Accounts and security
Provide accurate registration information, keep account credentials secure, and promptly tell us if you suspect unauthorized access. You are responsible for activity under your account and for managing workspace members and their permissions.
You must be legally able to enter into these terms. Do not share credentials in a way that undermines workspace security.
Plans, billing, and cancellation
MailWeave offers a Free plan and paid plans with different mailbox, event, endpoint, seat, polling, and event-history limits. Current plan details and prices are shown on the Pricing page and may change as permitted by these terms.
Paddle acts as Merchant of Record for paid transactions. Paddle processes payment and applicable taxes and provides transaction records. Paid subscriptions renew according to the billing interval shown at checkout until canceled. You can schedule cancellation from workspace Settings → Billing. Cancellation stops future renewal; paid access generally continues through the current paid period. Cancellation does not itself create a refund. See the Refund and Cancellation Policy.
Plan and usage restrictions are enforced by MailWeave. When a workspace reaches its monthly event limit, ingestion may pause until the limit resets or the plan changes. Retention varies by plan.
Email processing and webhook delivery
You retain ownership of email content and data you submit. You authorize MailWeave to access connected mailboxes, process messages, keep event records, and send event information to the webhook destinations you choose, as needed to provide the service.
You are responsible for having the rights and permissions needed to connect a mailbox and process or disclose its messages. Email may contain personal, confidential, or sensitive information. Choose mailbox access and webhook destinations accordingly.
MailWeave checks connected inboxes for new messages and sends matching events to your configured webhook destinations. Delivery may be delayed or fail because of network conditions, service-provider outages, traffic limits, an unavailable destination, an invalid response, or other factors. Unsuccessful deliveries receive a limited number of retries. A delivery that continues to fail may require manual replay where that option is available. MailWeave does not guarantee delivery or uninterrupted service.
Event history is kept according to the workspace’s plan retention period. Attachment contents are not sent with webhook events; attachment details such as filename and size may be included. See the Privacy Policy for data handling details.
Acceptable use
Use MailWeave lawfully and only for legitimate email processing and application integrations. You may not:
- Send or facilitate spam, phishing, fraud, malware, harassment, or other abusive automation.
- Process or disclose content unlawfully, infringe another person’s rights, or connect mailboxes without authorization.
- Interfere with the service, attempt unauthorized access, bypass plan limits, or probe systems without permission.
- Use the service in a way that could harm people, systems, or the reliability of MailWeave or third-party services.
Intellectual property
MailWeave and its software, branding, and documentation are owned by their respective rights holders. These terms give you a limited, non-exclusive right to use the service while you comply with them. You retain rights to your submitted content and data. You are responsible for your content and instructions to the service.
Availability, suspension, and termination
We may update, maintain, or change the service. We do not promise uninterrupted availability or a service level. We may limit, suspend, or terminate access if reasonably needed to address a security risk, legal requirement, nonpayment, abuse, or a material breach of these terms.
You may stop using MailWeave and cancel a paid subscription at any time through the available billing controls. On termination, your right to use the service ends. Data deletion and retention are described in the Privacy Policy; contact support with questions about workspace records.
Disclaimers and liability
To the extent permitted by law, the service is provided “as available” without warranties that it will meet every requirement, process every message without error, or deliver every webhook. Nothing in these terms limits a right or remedy that cannot legally be limited.
To the extent permitted by law, MailWeave will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, data, or goodwill arising from use of the service. To the extent liability may be limited, MailWeave’s total liability for claims related to the service will not exceed the fees you paid to MailWeave for the service in the twelve months before the event giving rise to the claim. This does not exclude liability that applicable law prohibits excluding or limiting.
Your responsibility for claims
To the extent permitted by law, you agree to defend and indemnify MailWeave against third-party claims arising from your unlawful use of the service, your submitted content, or your failure to obtain required rights or permissions, except to the extent caused by MailWeave’s own breach or misconduct.
Changes and applicable law
We may revise these terms as the service develops. We will update the date above and provide notice of material changes through the service or another reasonable channel. Continued use after a change takes effect means you accept the revised terms where permitted by law.
These terms are subject to the laws and mandatory consumer protections that apply to your use of MailWeave. Nothing in these terms limits a right or remedy that cannot legally be limited or excluded.
